FAQ's

 

TRAVEL PROTECTION AND INSURANCE:
KG Imagery is not responsible or liable for loss, damage or theft of luggage or personal belongings, or for personal injury, accidents or illness while on the trip, nor is KG Imagery responsible for any type of trip interruption.

We strongly recommend the purchase of comprehensive trip insurance. A great website for comparing travel insurance companies is insuremytrip.com.  ("The best travel insurance booking engine in the industry" - Insurance Industry Executive)

RESERVATIONS AND PAYMENTS:
A deposit of 25% per person is required within five business days after a reservation is made. No reservation is considered confirmed until the deposit is received by KG Imagery. Final payment must reach KG Imagery no later than 60 days prior to departure date.

LATE BOOKINGS AND PAYMENTS:
Bookings made within 21 days of departure must be paid in full by certified check or cashier’s check and will be charged a LATE FEE of $50.00 per person to cover communications expenses and express shipping of travel documents.

RETURNED CHECKS: $25 fee

TOUR PACKAGE INFORMATION:
All Tour Package information is correct at time of this publication.  However, this is subject to change due to circumstances beyond our control, such as changes caused by airlines, hotels, weather, etc.  Please confirm all details at time of booking.

CHANGES IN BOOKINGS:
Any changes made in a booking after the deposit of final payment has been received by KG Imagery, up to 60 days prior to departure, will incur a fee of $50.00 per change. Changes made within 59 days of departure and before trip documents are issued will incur a $100.00 fee plus any additional costs the change may incur. Changes made after trip documents are issued are subject to applicable cancellation fees.

CANCELLATIONS BEFORE DEPARTURE:
Cancellations and refund requests must be received in writing by KG Imagery. The following cancellation fees will be charged per person:
• 60 days or more before departure: $75.00
• 59 to 45 days before departure: $150.00
• 44 to 36 days before departure: $250.00
• 35 to 21 days before departure: 50% of Total Charges
• 20 to 8 days before departure: 80% of Total Charges
• 7 days or less before departure: 100% of Total Charges
If airline tickets are issued, additional penalties will apply.

REFUNDS:

Applications for refunds must be submitted in writing to KG IMAGERY LLC, within 15 days of trip termination.  Processing will take from six to eight weeks from the date KGI receives relevant documents. There will be no refunds for unused package trip services or features, including missed transfers due to airline changes and/or missed flights, unused meals, missed sightseeing trips, unused entrance fees and accommodations.

REFUNDS AND CANCELLATIONS AFTER DEPARTURE:
Once the trip commences, NO REFUND will be made for unused features or voluntary modifications made by the trip participant.

PASSENGER NAME:

Passengers are responsible to ensure that the names printed on the invoice exactly match the first and last name written in their passport. Any name change may require airline reservations to be canceled and rebooked. Reservations are subject to availability at the time of rebooking. Passengers will be required to pay airlines rebooking fee of up to $200 per ticket. KG Imagery will not be held responsible for the denial of services by a carrier due to any name discrepancy.

SPECIAL AIRLINE REQUESTS:

We will try our best to accommodate any special requests (i.e., vegetarian meals, preferred seating, etc.), provided we receive the request at time of booking. However, we cannot guarantee all requests.

AIRLINES:

Once issued, tickets are nonrefundable. Airline schedules and flights are subject to change without notice, and frequently do. KG Imagery is not responsible for penalties incurred for tickets not issued by KGI due to schedule or flight changes. Airlines reserve the right to demand immediate issuance of tickets whenever they determine that necessary. In that case, KGI will require immediate full payment of the airfare portion and taxes. This situation overrides invoice terms and conditions and payment due dates. If full payment is not received, seats will be cancelled by the airline and may not be available to be rebooked on the same flights or at the same airfare. Any replacement air arrangements and airfare will be the sole responsibility of the passenger.

HOTELS:

Hotel accommodations will be provided in accordance with the itinerary or similar. We reserve the right to substitute hotels of equal category. Room selection is at the discretion of the hotel. Double rooms usually consist of either two twin beds or one full size bed.  In hotels that offer triple rooms, these usually consist of a standard twin bedded room plus a sofa, folding bed or cot for the third person.  In other cases, they may consist of a double bed and a twin bed in the same room.  Please keep in mind that most hotel rooms in Europe are smaller than those in the U.S.

BAGGAGE:

The less you bring with you, the better…especially with the recent changes the airlines have made!  We recommend that you take along one suitcase per person, plus a small overnight bag. Due to limited transportation capacity, we request that only one bag per person be carried on overnight tours within Greece. If additional baggage is carried (other than overnight bag) a supplementary charge of $10.00 per additional suitcase per transport will be levied according to the number of transports. For those trips that include a domestic flight, i.e., Athens to Mytilene, two suitcases per person will be allowed. There could be additional baggage charges according to airline tariff. Baggage is carried at owner’s risk and baggage insurance is strongly recommended.  Please see our Travel Tips on Helen’s Journal page for details on extra baggage surcharges.  Since these change so frequently, we will do our best to keep them updated.

CUSTOMS AND AIRPORT SECURITY:
Please note that strict security precautions, especially going through Customs inspections, on entry or exit points, demand that you carry your own personal piece of luggage for the Customs official. This procedure is seriously enforced and there are no exceptions to the rule. We ask that you bring with you only a small carry on piece and one suitcase. This will only be in Customs and security areas such as ports and airports. Our associates will be there beyond these areas to assist you.

PRICES ON THIS WEBSITE:

All prices quoted on this website are based on air fares, land rates and exchange rates in effect at the time of the website going live and include the cost of Trip Operator planning, operation and mark-up. Trip prices do NOT include: AIRPORT TAXES, PORT TAXES, tips to guides and drivers, laundry charges, room service charges and items of a personal nature. All prices are subject to change without notice prior to departure, due to major currency fluctuations, fuel prices and/or unforeseen economic circumstances.

RESPONSIBILITY:

KG IMAGERY, and/or their cooperating selling agents and/or their suppliers of services offer these trips for sale only on the express understanding that they themselves do not perform or in any way assume liability for the performance of the individual components (transfers, hotels, flights, car, motor coaches, etc.) of these trips and act only to combine these components into a single unit of sale for the convenience of their clients, and are not responsible therefore, either directly or indirectly, for any loss, accident, or injury which may result from any act, omission, negligence in or responsible for performing or providing these component services.

The transportation companies concerned take no responsibility for any act, omission or event during the time the passengers are not aboard their conveyances. The passage contract issued by the transportation company shall constitute the sole contract between the transportation company and the passenger. ADDITIONAL EXPENSES INCURRED AS A RESULT OF DELAY, CHANGE OF SCHEDULES, ILLNESS, WEATHER, STRIKES, HOSTILITIES, QUARANTINE, GOVERNMENT REQUISITION OF HOTEL SPACE, OR ANY OTHER REASONS BEYOND THE CONTROL OF THE TRIP OPERATOR SHALL BE BORNE BY THE PASSENGER. TRIP OPERATOR RESERVES THE RIGHT TO SUBSTITUTE HOTELS OF SIMILAR CATEGORY IF NECESSARY AND TO ALTER ITINERARIES.

The trip operator is not responsible for typographical or printing errors, although we strive to omit these.

HOLIDAYS:

During local or national holidays abroad, certain facilities such as museums, sightseeing trips and shopping may be limited.  Some businesses are also closed during certain hours of certain days.

SUBSTITUTIONS:
We reserve the right, in our discretion, to substitute carrier, aircraft, charter flight for scheduled flight, entertainment, hosts, entertainers, hotels, restaurants, or other accommodations. We also reserve the right, for good faith reasons, to cancel any scheduled trip. In such event, we cannot take responsibility for your having chosen to purchase a non-refundable airfare.  Please visit insuremytrip.com for trip insurance comparison.

HANDICAPPED/ELDERLY PASSENGERS:

Trip participants who require any form of assistance must be accompanied by a helper who is capable of, and totally responsible for, providing such assistance. Because of space limitations, wheelchairs and walkers cannot be carried in transport vehicles. Please note that some of our trips require a lot of walking, climbing uphill and moving around.

TIPPING:

Tips are not included in any of the trip packages and are left at the discretion of each participant. Please visit Helen’s Journal for Tipping Advice Abroad.

TRIP DOCUMENTS:

Final documents are mailed, provided we have full payment and a signed contract, two weeks prior to departure date. One set of documents will be mailed per reservation. Documents may be sent to additional addresses for a $10 fee per address. Should final payment be received fewer than 60 days prior to departure, a $20 overnight mail fee will be applied to your invoice. This amount must be paid in full before documents can be released.

AIR CONDITIONING:

Please be advised that foreign air conditioning systems in public places, hotels and transport vehicles, such as taxis and buses, are not always up to USA standards.

ACCEPTANCE:

Payment of deposit or full payment shall be deemed as consent by the passenger to the above conditions.

WHEN AND HOW TO BOOK:

We suggest you book your trip with us as early as possible in order to avoid disappointment. Once you’ve completed either the Package Tours Order Form or the Custom Tours Order Form on this website, we will be in constant communication with you to finalize the details of your trip.  If you have any special requests, we suggest booking a minimum of four (4) months in advance.  Please keep in mind that it sometimes takes as many as six (6) months to receive your passport.

FAQ's

What types of shipping do you offer, and what are your rates?
Depending on the size and weight of the merchandise purchased, your item(s) will be shipped either via USPS or Fed Ex, with an average delivery time of 3-7 days. In the event you need your item(s) delivered sooner, please contact us with your request and we will quote you a rate for Priority, Second Day and Overnight shipping. Please keep in mind that these times refer to business days.

Our regular shipping rates are calculated at the first checkout step.

Do you ship outside the United States, and what is the cost to do so?
Orders outside the US are usually shipped via the US Postal Service and may take an average of 4 to 14 days for International shipping.

Customers outside the United States may be subject to import duties and taxes, which are levied once the package reaches your country. Additional charges for customs clearance must be borne by you; we have no control over these charges and cannot predict what they may be. Customs policies vary widely from country to country; you should contact your local customs office for further information.

Additionally, when ordering from KG Imagery, you are considered the importer of record and must comply with all laws and regulations of the country in which you are receiving the goods.

How can I pay for my order?
You can either pay online, using a credit card via PayPal, or print out an order form to mail along with a personal check, cashier's check or money order.  Payment is accepted in U.S. Dollars (USD) via MasterCard, VISA, Discover or American Express through PayPal, or via your own PayPal account. We cannot accept payments directly through any credit card company, unless it is process through PayPal during checkout. We cannot accept credit card orders via telephone.

California orders will have sales tax (7.25%) added during checkout.
 
If you place your order via telephone, and pay via personal check, your purchase will be shipped once we've received it and it has cleared.

What is PayPal?
PayPal is the world’s largest online payment service, providing businesses and individuals with the ability to securely, easily and quickly send and receive payments online.  To learn more about PayPal, visit paypal.com.

How do you create your prints?
We personally prepare each of our photographs to yield the best possible prints.  We use only professional photographic papers, such as Canon Fine Art Premium Matte and Photo Rag, among others.  Our prints resist fading for 30 years when displayed under glass, and 100 years in an album.

How long does it take to receive a print?
Prints are usually mailed out within 48 hours of placing your order.  If you would like your print framed and matted, please allow an additional 7-10 days preparation time, except when we are traveling.  While we are traveling, we will not be able to fill orders until we return.  Please check Helen’s Journal for our posted travel dates.  Faster express orders are possible.  Please contact us for rates.

Can I get my print framed and matted?
We normally do not offer framing, matting or mounting as a part of our regular service.  This is mainly due to the additional boxing and shipping costs, that can often be as high as the framing cost itself.
However, if you would like us to frame, mat, and/or mount your print(s) for you, please contact us at either info@kgimagery.com or (530) 367-5699.  We have several options of frames, mats and photo papers to help you customize your print for your particular tastes and needs.

How do I place an order?

What happens if my purchases are damaged during shipping?
We personally pack your order for shipment to ensure safety in transit.  In the event your products arrive damaged, we will replace them free of charge*, if they are returned within thirty (30) days of receipt.  We will refund the shipping cost you incur in returning any damaged merchandise to us for replacement.  Please see our Return Policy for further details.
*There are no refunds for damaged prints, only exchanges.

Are your prints available for commercial use?
We welcome the purchase of our prints for display on business premises, including public areas (such as a lobby or visitor’s center) and personal offices.  Purchase of our prints does not grant any rights to copy or resell the work without our express written consent.  Please Contact Us if you have a special request.

What is stock photography or stock photo licensing?
Stock photography refers to photographs or images that are made available for use by others, such as websites, magazines and newspapers, book publishers, and advertisers.
To use a stock photo, a licensing fee is usually set by the owner of the image.  When you pay a licensing fee, you are basically leasing certain rights to use the image.  The license allows use of the image for a pre-determined  length of time and in a pre-determined manner (such as on a single website for a period of one year.)  When the license, or lease, expires, all rights you had to the photo or image expire.  The terms of the license are agreed upon prior to purchase and are usually set out in writing.

What types of photos do you have available for licensing?
KG Imagery offers a broad range of subjects for editorial, publishing or advertising use.  These include, but are not limited to, nature, travel, underwater, and animals.  If you can’t find what you’re looking for, please Contact Us with your specific needs, and we will do our best to provide you with just the right photo.  We can also be commissioned to provide specifically requested photographs.

Can any of your images be used for free or in exchange for a link to your website?
We sell limited rights to use or reproduce our work in various media.  This exchange of a fee for the right to use an image is known as “stock photography licensing,” and it is how professional photographers are compensated for their time, talent and investment in taking photographs.  None of our images are royalty-free or in the public domain.

What are your standard licensing requirements?
We retain ownership and all rights associated with the licensed images, unless otherwise agreed upon and specified in writing.  Licenses will clearly establish what rights are being conveyed.  For instance, “non-exclusive, one-time publication rights for the duration of one year.”
A copyright notice and/or byline, crediting KG Imagery LLC, must appear on or near the images in all media used, i.e., Copyright 2008 KG Imagery LLC.  All Rights Reserved.

Unless specifically stated in writing, licenses are non-transferable.  Client is expected to retain any invoices or receipts associated with the license, to serve as proof of licensed use.
